Privacy Policy
This policy explains what information Hybrid5 Studio collects when you use hybrid5studio.com, why we collect it, who helps us process it, and the choices you have. We wrote it in plain English. If anything is unclear, email us at [email protected].
Who we are
Hybrid5 Studio ("Hybrid5 Studio," "we," "us," or "our") builds websites, marketing, apps, automation, and AI for businesses. We're based in Salt Lake City, Utah, USA, and we work with clients remotely across the US.
This policy covers our website at https://hybrid5studio.com, including the 5-Pillar Scorecard, the book-a-call form, and the AI assistant chat. Information we handle while doing paid work for a client is governed by our written agreement with that client.
Information you give us
You choose what to share with us. Here is what each part of the site collects.
- 5-Pillar Scorecard: your yes or no answers to the scorecard questions. If you choose to submit them for a full report, we also collect your name, email address, company, and website.
- Book a call: your name, email address, phone number (optional), company, website (optional), the pillars you're interested in, any notes you add, the meeting time you choose, and your time zone.
- AI assistant chat: the messages you type and the assistant's replies.
Chats are linked to a random, anonymous session ID stored in your browser. We don't connect a chat to your name unless you type your name into it.
Information collected automatically
Like almost every website, ours receives some technical information whenever your browser loads a page.
- Server logs: our hosting provider records standard request data, such as your IP address, your browser's user agent, and the pages you request. These logs are used for security and troubleshooting.
- Network and security data: Cloudflare provides our CDN, DNS, and security services. It sees standard request data, such as your IP address, when your browser connects to the site.
- Visit statistics: we use Cloudflare Web Analytics to count page views and see which pages are popular. It doesn't use cookies, doesn't track you across other websites, and gives us only aggregated numbers.
Local storage and fonts
The site uses your browser's localStorage for two things only: the anonymous session ID that keeps your AI assistant chat together, and small preferences, such as whether you've paused motion on the site.
You can clear localStorage at any time in your browser settings. If you do, your next chat starts a new session.
Our fonts are self-hosted. Loading a page on our site doesn't send a request to Google Fonts or any other outside font service.
How we use your information
We use the information described above to:
- Prepare and send your full scorecard report, if you ask for one
- Schedule, confirm, and prepare for calls you book
- Send notification and confirmation emails about your requests
- Generate the AI assistant's replies and keep your conversation in context
- Follow up with you about your inquiry, unless you ask us to stop
- Keep the site secure, prevent abuse, and fix problems
- Keep business records of our conversations with potential clients
What we don't do
- We don't sell your personal information.
- We don't share your personal information for cross-context behavioral advertising.
- We don't use advertising or tracking cookies.
- We don't use cross-site tracking analytics. Our only visit statistics come from Cloudflare Web Analytics, which is cookieless and aggregated.
- We don't load fonts from Google Fonts or other outside font services.
The AI assistant
The chat assistant on our site is an AI. It can make mistakes, so please check anything important with us directly. You can ask for a human at any time.
Please don't paste sensitive information into the chat, such as passwords, payment card numbers, or health details.
To generate replies, we send your chat messages to Anthropic, which provides the AI model behind the assistant. Under Anthropic's commercial terms, inputs sent through its API are not used to train its models.
Each chat is linked to a random, anonymous session ID stored in your browser. We keep chat transcripts for up to 12 months.
Service providers we use
We use a small number of service providers to run the site. They process information on our behalf so they can provide their services to us.
- Convex: our database and backend, hosted in the United States. This is where the information you submit is stored.
- Anthropic: processes AI assistant messages to generate replies.
- Resend: sends our notification and confirmation emails.
- Cloudflare: provides our CDN, DNS, and security services, sees standard request data such as IP addresses, and provides cookieless, aggregated visit statistics (Cloudflare Web Analytics).
- Our hosting provider: serves the site and keeps server logs, such as IP address, browser user agent, and requested pages, for security and troubleshooting.
We may also disclose information when the law requires it, or when it's reasonably necessary to protect the safety and security of our site, our business, or other people.
How long we keep information
- Booking and scorecard records: kept as business records for up to 3 years after our last contact with you, unless you ask us to delete them sooner.
- AI chat transcripts: kept for up to 12 months.
- Server logs: kept briefly, up to 30 days, unless we need them longer to look into a security issue.
Your choices and rights
Wherever you live, you can ask us to:
- Show you the information we have about you
- Correct information that's wrong or incomplete
- Delete your information
- Stop sending you follow-up emails
To make a request, email [email protected]. We respond within 30 days. We may ask you to confirm a few details so we know the request really comes from you.
We won't treat you differently for using any of these rights.
California residents
If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you the right to:
- Know what personal information we collect, use, and disclose, and get a copy of it
- Delete personal information we've collected from you
- Correct personal information that's inaccurate
- Opt out of the sale or sharing of your personal information
We don't sell or share personal information, as California law defines those terms. You don't need to opt out, though you're always welcome to contact us with questions.
The categories of personal information we collect are identifiers (such as name, email address, phone number, and IP address), professional information (such as company and website), internet activity (such as server log data), and the content of what you send through the scorecard, booking form, and chat. We collect this information from you and your browser, use it for the purposes described in this policy, and disclose it only to the service providers listed above or when the law requires it.
To use your rights, email [email protected]. You can also have an authorized agent make a request for you. We verify requests before acting on them, and we won't discriminate against you for using your rights.
People in the EEA and UK
If you're in the European Economic Area or the United Kingdom, we rely on these legal bases to process your personal information:
- Consent: when you choose to submit the scorecard for a full report, book a call, or use the AI assistant. You can withdraw your consent at any time.
- Legitimate interests: to respond to your inquiry, follow up about it, keep business records, and keep the site secure. We weigh these interests against your rights.
You have the right to access, correct, or delete your personal information, to object to or restrict certain processing, and to receive a copy of your information in a portable format. To use these rights, email [email protected].
You also have the right to complain to a data protection supervisory authority where you live or work. We'd welcome the chance to address your concern first, so please reach out to us.
Children's privacy
Our site is not directed to children under 13, and we don't knowingly collect personal information from them. If you believe a child under 13 has given us information, email [email protected] and we'll delete it.
Security
We use reasonable safeguards to protect the information you share with us. Information sent between your browser and our site is encrypted in transit.
No method of sending or storing information online is completely secure, so we can't guarantee absolute security.
Where your information is stored
Hybrid5 Studio is based in the United States, and your information is stored and processed in the United States. If you use the site from outside the US, your information is transferred to the US, where privacy laws may differ from the laws where you live.
Changes to this policy
We may update this policy from time to time. When we do, we'll post the new version on this page with a new "last updated" date.
